New Position: Group trip concierge

Position Type: Internship 

Length: Depending on assignment 

Compensation: All new interns are on a 90 day unpaid probation period. After this probation, hourly wage is $10/per hour and we cover travel arrangements in case you are assigned to travel on a trip. 

Intern Summary

Travelopolis is a travel business that focuses on creating passport-worthy getaways for women to dine in different time zones, sunbath on sensational beaches, and immerse themselves in exotic and exciting cultures. We've got exciting new projects in the works… so many that we need more hands-on deck to get them all done.

We are looking for 2 amazing Group Trip Concierges to manage our upcoming group trip experiences, both private and hosted. The Group Trip Concierge must be a master communicator, love serving others to the highest degree, and is highly organized. Your key tasks are to provide a seamless experience to our clients and guide them through our signature process so that ultimately they fall in love with us and become repeat customers. 

This is a part-time internship that reports directly to our founder. This is a remote, work-from-home position with occasional travel to our group trips. It would be great if you are in Indianapolis or Chicago and it’s a bonus if you live within 1-hour driving distance of Indianapolis. 

This position will also require flexibility including working on our trips. We are hired for and host multiple trips a year that may require your in-person assistance as well.

Our mission is to inspire women and men to get off the sidelines of life and experience the bucket list destinations by making it easier to travel and finding new travel friends along the way, We do this by hosting 3-5 passport worthy getaways that offer top-notch customer service, high-quality, mind-blowing activities, events and hotels, and flexible payment plans, and building trust with our customers. We have a growing audience of over 8,000 travelers on a mission to get their passport stamped.

Your responsibilities will include

  • Working with the founder

    • Support the founder in executing her vision and growing the business.

    • Develop status reports and updates of each trip you're assigned to for the founder to review on a weekly basis

    • Attend in-person/ virtual meeting with the founder at her office in Indianapolis 

  • Working with the team and partners

    • Attend monthly team meetings and collaborate on new launches, trips, and merch

    • Work with events teams to provide detailed customer lists and documents so they can properly plan and execute events and activities throughout the experience

    • Work directly with the hotel partners to manage update, and organize room reservations

  • Group trip management 

    • Assist clients with the post-registration process

    • Manage and organize our group trip databases

    • Schedule and send monthly updates and payment reminders

    • Update clients portals with new payments, change requests and etc

    • Respond to clients emails and make necessary adjustments 

    • Assist customers with cancellations and assess refund eligibility

    • Conduct research on ways to assist clients on ways to prepare for their experience

    • Conduct post-trip focus groups and surveys to gather customers’ feedback and insights

    • Gather clients personal information such as passports, payment information, etc

    • Ease customers concerns during times of travel scare

  • Can work alone and doesn't need your handheld every step of the way.

  • Can work under pressure where you might have multiple trips to manage under tight deadlines.

  • Have exceptional communication skills including writing skills

  • Are super organized but can move quickly to ensure things get done effectively and efficiently.

  • Can handle direct & blunt feedback.

  • Must be tech-savvy and can learn new systems

  • Desire to be with our organization long term. If you're looking to get some experience and go somewhere else, please don't apply.

  • Cannot take feedback well and gets defensive easily 

  • Underdelivers and overpromise 

  • Doesn’t take initiative and waits for someone to tell you to do something

  • Not tech savvy and not willing to learn
